How To Use Approvals On Microsoft Teams

In Teams, users can send out approval requests to ask other members to agree or disagree about their questions. When the approvers see your request, they can opt to agree, disagree, or choose from one of the custom responses you included on it.

How to use approvals on your Microsoft Teams chats and channels
If you need the consent of other team members before making a decision, you can use the approval option on the app. In this way, you can ask people for their permission from the chat or channel within your team.
You can use the approval feature whether you’re using the Teams app on your desktop or mobile device. In our step-by-step tutorials below, we’ll show you how to do it from both.
On your phone:
- Open the Teams app from your home screen or app drawer and sign in to your account.
- Head to the conversation or channel where you want to use an approval option and tap the plus icon beside the message field.
- Tap the “Approval” option on the menu.
- Select the “Basic request” option.
- Name your request, add the respondents, and fill up the other options that you want to use. You can create custom responses to get the answers you want.
- Tap Send on the top right to send the Approval request.
That’s how you use the approvals feature on the Teams mobile app. Respondents can choose to approve or reject your request from the conversation right away.
On your computer:
- Launch the Teams desktop app or open their web client and sign in to your account.
- Head to the conversation or channel where you want to request approval.
- Click More options (three dots icon) below the message field and select the Approval option from the menu.
- Select the “Basic request” option.
- Add the name of the request and choose the potential approvers. You can also add additional details or add a custom response for the request.
- Click “Send” on the bottom right of the window to send the request to the chat.
If you want a specific answer to your approval request, make sure to enable the custom response option before sending it to the chat. You can also choose to require a response from all approvers to make sure they participate in the query.
