How To Show All Participants In A Microsoft Teams Meeting

Do you want to show all participants of your Teams meeting on a single screen? Is the default layout not enough for you to show all the attendees? If so, then all you have to do is change your video layout on your meetings. If you’re not familiar with the method to do so, we have a quick guide that can help you. Just remember that just like Zoom and Google Meet, Teams can only show you up to 49 people on your screen.
Microsoft Teams is one of the best chat apps for business and work-related messaging. It allows you to message your team through chats and share information through channels.
Aside from communicating through group chats and channels, you can also host virtual meetings on Teams. Each session can hold up to 350 participants, which is more than enough for a small organization or team.
So, the question is, is it possible to view all participants on a single screen? Well, the answer depends on the number of people in your meeting. But no matter what layout you use, you can only show up to 49 participants on a single screen. To view the others, you have to navigate through the pages of your layout.
How to change the video layout in a Microsoft Teams meeting
If you’re having trouble viewing all the meeting participants, you can choose to change the video layout. Although the maximum number of people you can show on your video is only 49, it is more than enough for a small team or organization.
On your computer:
- Launch the Teams desktop app and sign-in to your account.
- Start a new meeting or join an existing one.
- Once you’re inside the video conference, click the three-dot icon at the upper right side of your screen to access More actions.
- You can choose whether to use Gallery, Large Gallery, or Together mode as your layout.
By default, your layout in every meeting is the Gallery option that displays participants in a 2×2 or 3×3 window, which means that you can view up to nine people on your screen. Once more than nine people join your meeting, you can access the Large Gallery layout.
If you choose to use the Large Gallery view, Teams automatically arranges the display depending on the number of participants to fit them all on your screen. However, you can only view up to 49 people at the same time. You can view the others by navigating the pages of your layout.
As for the “Together” mode, you get to view participants in a shared background like a classroom or lecture hall. While this feature can only show up to 49 people on your screen, it can reduce distractions in your meeting while allowing you to focus on the active speaker.
On your Android device:
- Open Teams from your home screen or app drawer and sign-in to your account.
- Join a meeting or start a new one.
- Once you’re inside the room, tap the three-dot icon at the bottom of your screen to access More options.
- Tap Change layout and choose your preferred one.
Other video options on a Microsoft Teams meeting
Aside from changing the layout, there are other things you can do to view other participants in a meeting. In this way, you have the option to focus on watching some people or content in the room.
For example, you can pin a video on your screen to focus on the participant even if he/she isn’t currently active or talking at the meeting. You can pin as many videos as you want as long as they can all fit on your screen.
You also have the option to switch between the content or the participants in a presentation. With this feature, people can check whether people are actively listening to the presenter or not.
